The Problem

The solicitor has office bases in Chester and Wrexham, they store approximately 750 boxes of client files in a garage type lockup.

To store 750 boxes approximately 1000sq ft of space is required with a rentable value of £4.50/ft pa. That equates to £4500 a year, plus business rates, plus utilities, plus insurance, plus the cost of picking/shredding. Add to that staff travel time, mileage, manual handling risks and the need to manage the database. When all the costs were calculated the archiving costs came to £8250 per year.

All files are managed on-line by users. When a file needs to be retrieved we pick it and deliver it to its destination, then we collect and return it to our secure premises when required. So no health and safety risk or manual handling issues for staff and no time wasted by staff travelling to the self-storage company they used to use.
